Position Summary

Join this client's Specialty division as a Corporate Account Administrative Assistant and become a pivotal part of a high-performing sales team. In this hybrid role, you will provide critical administrative support to corporate account managers, helping to manage high-volume requests, process contracts, coordinate orders, and ensure customer satisfaction. Key Responsibilities

Maintain strong relationships with both internal teams and external customers, understanding their needs and expectations.

Process and schedule new opening orders, mass product orders, and recurring monthly/annual billings for digital products.

Create, update, and maintain pricing contracts using the Contract Management System.

Manage 3rd party customer catalog portals and update pricing as needed.

Communicate with executive-level customers on behalf of corporate account managers.

Assist in resolving customer issues, including invoice discrepancies, product concerns, credit adjustments, and service inquiries.

Process legal contracts via AdobeSign, including data validation, obtaining approvals, and archiving executed documents.

Maintain accurate customer master data (e.g., contracts, discounts, contact details) and submit change requests.

Use the SaaS system to create and manage digital order records.

Generate and review monthly reports and provide ad hoc reporting as needed.

Provide back-up support to administrative colleagues when required.

Requirements

Qualifications

Required:

High School Diploma or GED

3 years of sales support experience

Advanced Excel skills (including VLOOKUP, pivot tables, filters, concatenate)

Intermediate proficiency in Microsoft Office Suite (Word, PowerPoint, Outlook)

Familiarity with SAP or similar systems

Preferred:

Bachelor's Degree

5 years of customer service experience

2 years of project management experience

Soft Skills

Strong communication skills (verbal and written)

Ability to manage competing priorities and deadlines

Confidence, enthusiasm, and a willingness to learn

Adaptability, patience, and resilience
