Description We are looking for a highly organized and detail-oriented Administrative Assistant to support daily operations in an efficient and effective manner. This is a long-term contract position based in Irvine, California, offering the opportunity to contribute to a dynamic and collaborative environment. The ideal candidate will play a critical role in ensuring smooth administrative processes and exceptional customer service.

Responsibilities:

Manage inbound and outbound calls, ensuring clear communication and timely resolution of inquiries.

Perform accurate data entry tasks and maintain records to support organizational efficiency.

Coordinate and schedule appointments, meetings, and events to optimize team calendars.

Draft and respond to email correspondence, maintaining a high level of professionalism.

Provide exceptional customer service by addressing client and team member needs promptly.

Utilize Microsoft Office tools, including Word, Excel, PowerPoint, and Outlook, to prepare reports and presentations.

Assist in maintaining organized filing systems for easy access to important documents.

Support team members with various administrative tasks as needed to enhance productivity.

Monitor office supplies and coordinate with vendors to ensure availability of essential materials. Requirements - Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.

Strong communication skills, both written and verbal, with a customer-focused approach.

Demonstrated ability to manage schedules and appointments effectively.

Experience handling inbound and outbound calls in a detail-oriented environment.

Excellent organizational skills with high attention to detail in data entry and task management.

Ability to handle multiple tasks simultaneously and meet deadlines in a fast-paced environment.

Prior experience in an administrative or customer service role is preferred.
