We are looking for a detail-oriented Legal Administrative Assistant to support a long-term contract need in Pasadena, California. This position requires strong organizational skills and the ability to handle a variety of clerical and administrative tasks, supporting workers' compensation litigation deadlines and daily operations. The ideal candidate will thrive in an on-site role, collaborating with colleagues to ensure smooth and efficient workflows.

Responsibilities:

Manage and maintain calendars, ensuring all workers' compensation litigation deadlines are tracked and met promptly.

Perform document management tasks, including uploading, downloading, and organizing files within case management systems.

Handle incoming and outgoing mail, ensuring timely distribution and processing.

Conduct accurate data entry and maintain records in compliance with company standards.

Assist with light copy work and preparation of legal documents as needed.

Utilize case management software and legal research tools such as LexisNexis to support ongoing cases.

Collaborate with team members to ensure efficient billing and administrative functions.

Provide clerical assistance for briefing, complaint handling, and other legal documentation tasks.

Support the team with Microsoft Office Suite applications to create, edit, and manage documents effectively.

Requirements - Proven experience as a Legal Administrative Assistant or in a similar clerical role within the legal field.

Proficiency in case management software and legal research tools such as LexisNexis.

Strong skills in Microsoft Office Suite, including Excel, Word, and Outlook.

Familiarity with calendar management and scheduling, particularly for litigation deadlines.

Excellent organizational and time-management abilities.

Ability to perform accurate data entry and maintain detailed records.

Effective communication skills for handling complaints and collaborating with team members.

Knowledge of billing functions and legal documentation processes.
