The Role
We are looking for a Sr. Administrative Assistant to provide high-impact support to our SVP, Chief Accounting Officer and SVP, Global Q2C Operations. You'll be at the center of a global finance organization supporting Proofpoint's next phase of growth. This is a fast-paced, high-trust role ideal for someone who is organized, proactive, professional, and thrives on helping senior leaders stay focused, efficient, and prepared. You'll manage a dynamic calendar, coordinate meetings across time zones, assist with communications and org-wide logistics, and take the lead on critical administrative needs.
What You'll Do
Own and manage the SVP's calendar, ensuring time is aligned with priorities and buffered appropriately
Proactively schedule and prepare for leadership meetings, board prep/QBR sessions, and external partner syncs (audit, tax, consultants)
Coordinate logistics for team meetings, offsites, all-hands, culture events, and key finance milestones
Handle domestic and international travel bookings, including itineraries and adjustments
Submit and reconcile expense reports, and track procurement/purchasing needs
Draft and edit internal communications and assist in preparing presentations
Maintain email distribution lists, org charts, and shared documents
Serve as a key liaison with facilities, IT, and finance operations on behalf of the SVP
Contribute actively to the broader admin community
Handle sensitive and confidential information with sound judgment and discretion
Anticipate needs, bring a sense of urgency to problem-solving, and take initiative without waiting for direction
What you bring to the team
5 years + of experience supporting a senior leader in an administrative or executive assistant capacity
Advanced proficiency with Microsoft Outlook, Teams, Excel, PowerPoint
Strong written and verbal communication skills
Preferred Qualifications
Experience supporting a C-suite or VP-level executive, ideally in finance, tech, or legal
Highly organized and detail-oriented with the ability to multitask under pressure
Comfortable working across time zones and with international teams
Able to make independent decisions and adapt to changing priorities with grace
High degree of professionalism and maturity; trustworthy with confidential information
Approachable and collaborative with strong relationship-building instincts

Base Pay Range: 36.17 - 53.04 USD

Base Pay Range: 28.56 - 41.88 USD
All other cities and states excluding those listed above:
Base Pay Range: 26.18 - 38.39 USD
