As a Senior Administrative Assistant R&D, you will play a crucial role in the financial and administrative support of our R&D team. You will provide a wide range of support, including managing capital and expense expenditures, coordination and tracking of purchase orders, department supply management, communication, calendar management, and scheduling appointments and travel. You will take initiative to follow up on relevant issues, inform the manager of status, and maintain strong relationships with other administrative associates within the business as well as a broad range of stakeholders. This role is one of three administrative assistants for the department, and teamwork through cross-coverage as needed is expected.
Duties and Responsibilities
Under general direction and in accordance with all applicable federal, state and local laws/regulations and Corporate Johnson & Johnson, procedures and guidelines, this position will be responsible and accountable for:
Leading the Capital procurement process, namely submiting Capital Appropriation Requests in gCRAFT and their corresponding Purchase Orders.
Assisting with completing the close process by checking the POs are closed, helping to complete the FATRF form for Finance and Fixed Assets, and submitting requests for the TECs (Tax Exempt Certificates).
Monitoring the aCREW system for monthly accruals, aiding in training and explaining the process as well and addressing escalation to management quickly. Submitting tasks when needed to avoid escalation.
Serving as Budget Liaison for the Advanced Evaluation team on expense and capital items, using Vision to create and distribute monthly files for the BvA Open PO reports to the R&D Leads. Working closely with Finance to understand and accomplish timely reports for distribution.
Provides administrative support in areas of typing, expense reports, confidential correspondence, file management, travel arrangement and office supply ordering.
Opening, sorting, prioritizing and distributing incoming communications and other provisions.
Maintaining calendar(s) and arranging meetings
Providing staff with reminders of upcoming events and projected related deadlines
Coordinating, preparing, and editing reports and presentations
Preparing memorandums
Organizing files, assembling relevant data, compiling statistics or information as directed for use by others.
Handling confidential matters requiring discretion and judgment
Greeting vendors and visitors
Maintaining the office environment
Communicating business related issues or opportunities to next management level
Following all Company guidelines related to Health, Safety and Environmental practices as applicable
Ensuring personal and Company compliance with all Federal, State, local and Company regulations, policies, and procedures
Performing other duties assigned as needed
Experience and Education
High School graduate / GED required, an Associate's degree or higher degree in a technical field is preferred
A minimum of six (6) years of experience as an administrative assistant
Experience administratively supporting a large and complex organization and multiple senior leaders is preferred.
Technology savvy: Experience with MS office (including Excel), Concur, Amex Travel, Summit, Teams, Zoom highly preferred
Experience in eMarketplace, gCRAFT, Vision, aCREW, Planisware, SharePoint, FM Interact and Client Request System (CRS) highly preferred.
Ability to innovatively lead a large organization in planning for large meetings preferred
Global calendaring management experience in a complex matrix environment understanding time zone impacts to meetings and travel schedules preferred

The anticipated base pay range for this position is :
$51,450 to $80,000
Additional Description for Pay Transparency:
This position is eligible for overtime. The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporation's performance over a calendar/performance year. Bonuses are awarded at the Company's discretion on an individual basis.
