We are currently seeking a C4I Administrative Assistant to assist our AIT Project Manager on fleet modernization tasking. The selected candidate will be supporting our Systems Integrations department on various contracts such as Naval Information Warfare Systems Command and Naval Surface Warfare Center. The Administrative Assistant will support the training and travel Process while also providing a wide variety of additional administrative functions. This is a full-time position located in Virginia Beach, VA (on site)
What You Will Do
Work closely with Project Managers to facilitate seamless communication and workflow.
Maintains and organizes travel and training trackers. Follows up on travel and training requests.
Attend meetings, record meeting minutes, and update managers on personnel status.
Performs normal office functions such as setting up and maintaining files; making proper referrals; arranging meetings and conferences; and receiving, referring, or answering mail.
Perform administrative duties to support clerical, administrative services, and technical publications personnel.
Handle typing, word processing, and graphics illustration using computers with minimal supervision.
Conduct courier and mail service operations, ensuring timely and secure document delivery.
Maintain personnel and organizational files, ensuring accuracy and confidentiality.
Prepare correspondence, schedule meetings, and coordinate travel arrangements.
Assist in the development of contract deliverables and reports to support key projects.
Integrate graphics generated with automated tools into deliverable documents.
Improves and streamlines procedures.
Additional duties as assigned or required.
What You Must Have
High School Diploma or equivalent and 2 years additional education and/or related experience.
Must have data entry and clerical/administrative experience.
Must be proficient with Microsoft Office Suite (Word, Excel, PowerPoint).
Familiarity with USN Shipboard and Shore-Based Policies and Procedures.
Experience supporting office administrative duties to include maintaining files.
Strong written and verbal communication skills.
Must be organized and detail-oriented.
Prior experience working on multiple projects and setting priorities.
Must be able to obtain and maintain a DOD Secret Clearance.
Must be US Citizen.
Bonus Points For...
Active or previous DoD Secret Clearance.
Physical Requirements
Job performance will normally require only minor lifting and carrying of boxes of records or equipment.
