Job Summary and Qualifications
Essential Functions:
Coordinates referrals and intake process for clinical programs utilizing exceptional customer service skills, over the phone and in person, with our customers and internal departments.
Ensures patient charts are prepared for patient scheduled procedures prior to procedure date
Assists with scheduling of patients for office visits, procedures, testing and operating room or cardiology labs. Obtains or sends required information to patients.
Obtains appropriate patient records and ensures that records are placed inpatients EMR chart accurately and timely.
Coordinates data collection for cardiology programs. Accurately enters and submits data to appropriate data registries and repositories in a timely manner to meet program deadlines.
Prepares confidential letters, documents, correspondence, contracts, insurance requests, memos and other requested material. Performs routine typing, drafts routine correspondence, composes letters typing accurately and completely.
Organizes information for research projects within the standards and guidelines of the study sponsor and the IRB.
Accurately records staff meeting minutes as requested. Ensures minutes are posted in the department manual.
Demonstrates a high degree of confidentiality, respect, courtesy and rapport when interacting with referring physicians, satellite offices, hospital administrators, insurance companies, state agencies, VNA, professional organizations, patients, families, visitors and hospital staff.
Coordinates the planning lectures & presentations. Assists with slides, AV needs, objectives, outlines, program credits, room arrangements, invitations and directions.
Receives and reviews all mail and faxed correspondence and telephone calls promptly and efficiently. Routes all correspondence appropriately.
Ability to juggle multiple projects with thoroughly and accurately.
What qualifications you will need:
Education:
High School graduate or equivalent.
Two or more years of secretarial/administrative experience
Medical terminology preferred.
Experience:
At least two years' experience in a busy, complex office. Proficient in MS office suite, email and internet
The ability to manage multiple projects simultaneously.
Requires strong communication skills, both verbal and written, organizational skills, both analytical and problem.
Ability to manage multiple tasks and achieve deadlines under pressure.
