Purchasing Coordinator - Contracts (Finance Coordinator)
POSITION DETAILS
The City University of New York (CUNY) - Central Office seeks a Purchasing Coordinator for the Office of the Chief Procurement & Supplier Diversity Officer. CUNY is the nation's leading urban public university serving more than 500,000 degree-seeking students. The University comprises of 26 institutions: eleven senior colleges, seven community colleges, the William E. Macaulay Honors College, the Graduate Center, the Craig Newmark Graduate School of Journalism, the School of Labor and Urban Studies, the School of Law, the School of Professional Studies, Guttman Community College and the Graduate School of Public Health and Health Policy. Reporting to the Deputy Director of Procurement, the Purchasing Coordinator is responsible for all aspects of the procurement process for assigned specific accounts.
Key responsibilities include, but are not limited to the following:
Assists in preparing specifications for bidding and develops lists of bidders for use with Request for Quotes (RFQ), Request for Proposal (RFP), and Invitation for Bids (IFB); prepares award and renewal letters, and related documents for contracts.
Places advertisements with City Record and New York State Contract Reporter, includes forwarding bid documents to prospective bidders and assists in evaluating bid responses.
Conducts Request for Quotes (RFQ) against Office of General Services Contracts (OGS), CUNY issued contracts and other centralized contracts, reviews submissions, and prepares awards for submission to the Office of the New York State Comptroller (OSC).
Conducts mini bid solicitation for existing CUNY Contracts and works with departments to develop and finalize requirements.
Produces contracts and purchase orders via CUNY's e-procurement and ERP systems once RFQ has been completed and awardee is selected.
Submits and assists OSC providing additional information as requested for necessary approvals of submitted contracts for approval against OGS and other centralized contracts.
Interacts with end users and provides guidance on various @types of procurement methods and processes associated with them.
Prepares procurement records for procurement files, spreadsheets to record progress for requisitions and conducts spend analysis by categories, vendors, and colleges; shares ideas, plans, and initiatives for spend optimization.
Assists directors with various projects as needed and with administrative tasks on major CUNY-wide procurements.
Corresponds and negotiates with vendors on various procurements.
NOTE :
Until further notice, this position is eligible for a hybrid work schedule.
QUALIFICATIONS
Minimum:
Bachelor's Degree required.
Preferred:
The ideal candidate will have the following knowledge, skills and abilities:
Bachelor's degree in business administration or an accounting discipline preferred.
Two years of procurement experience, preparing contracts, including New York State government contracts, and producing purchase orders.
Knowledge of reporting principles preferred.
Detail-oriented with solid written, evaluation, and research skills.
Strong writing, verbal, Interpersonal, communication, and presentation skills to work effectively with diverse stakeholders of various organizational levels.
Work productively as an individual contributor and collaboratively as a team member in a time-sensitive and customer service-oriented office.
Strong organizational skills with ability to establish plans, manage a large and varied workload of assignments with conflicting priorities, follow up and complete work by set deadlines.
Proficiency using computers and standard office, financial and relational database applications and systems, especially MS Word, Excel, Access and PeopleSoft and financial systems.

COMPENSATION AND BENEFITS
Salary range is $54,268 - $65,946 , and commensurate with qualifications, education and experience.
CUNY is in the process of implementing salary schedule increases. Once implemented, salaries of eligible employees will be adjusted by 6.09% with additional increases of 3.25% effective 9/1/2025 and 3.5% effective 9/1/26, in accordance with the terms of the PSC-CUNY collective bargaining agreement.
