Job Title: Administrative Assistant

Job Description

We are looking for a dedicated Construction Administrative Assistant who maintains a high level of confidentiality and professionalism. The ideal candidate will cater lunch for the team, communicate clearly and concisely in both written and oral forms, work independently to organize complex clerical tasks, and demonstrate flexibility and adaptability in various situations. You will be responsible for meeting strict timelines while performing multiple tasks, exhibiting cost consciousness, and proficiency in office technology and software such as CMiC, Office 365, Microsoft Office, and Bluebeam.

Responsibilities

Track all field safety documents for job site team on multiple projects.

Scan and log all subcontractor-required documents for multiple projects, including Daily Reports and Pre-Task Plan sheets.

Assist Field Staff with correct coding and submitting expense vouchers.

Assist with subcontractor bidding lists when available.

Perform various data entries as needed.

Communicate in a positive, effective, and professional manner with staff, vendors, subcontractors, and visitors.

Perform other duties as assigned.

Exhibit excellent time management skills and the ability to prioritize work.

Demonstrate strong organizational skills with attention to detail.

Work effectively despite frequent interruptions.

Essential Skills

2 to 3 years of office administration or management experience.

Proficiency in Microsoft Office Suite or Google Suite.

Experience in ordering lunch and supplies.

Subcontract support and data entry management.

Coordination of training programs.

Additional Skills & Qualifications

2 to 3 years of administrative experience.

Comfortable wearing multiple hats in a dynamic work environment.

Work Environment

The position requires working Monday to Friday from 8:00 am to 4:30 pm at our Leesburg, VA worksite. The role is office-based, providing a professional setting with frequent interactions with staff, vendors, subcontractors, and visitors

Pay and Benefits

The pay range for this position is $28.84 - $33.65/hr.
