Job Summary and Qualifications
The Administrative Assistant (Communications) will maintain a productive, well-organized and pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety within the VCP Executive Office. You will support the Department of Network Management in communications, events, meetings, marketing and educational materials, website management, and other duties to ensure smooth operation of the VCP network. You will write, edit, and produce all network communications, marketing and clinical educational materials including some graphic design/layout.
· Assist in development, production, and distribution of network communications including e-newsletters, website updates, LinkedIn, general marketing and educational materials
· You will format, proof, edit and process correspondence and other written material to ensure compliance with office procedures and client expectations
· Help prepare, distribute and organize official documentation and files of Board, committee and staff meetings and other network correspondence. Assist leadership team in preparing agenda and presentation documents
· Supporting and assisting staff and providing backup for other administrative functions within VCP
· Schedule routine Board, physician committee, large practice and payer JOC meetings and other external appointments
· Plan staff or network activities, as they arise (conferences, receptions and other work-related events.)
· You will manage all creative vendor relationships and assist Leadership Team with identified projects
· Coordinate VCP's stakeholder events and serve as primary contact for WebEx production, venue selection, food & refreshments, invitations/registrations, budget and any related communications
· Organize and coordinate routine internal meetings
· Maintain office policies and partner with HR to update as needed.
· Maintain office supply inventory and manage daily mail, delivery and courier needs
· Manage equipment inventory and maintain proper operating condition of office equipment, coordinating routine maintenance and repairs with HCA IT&S as needed.
· Provide general support to office visitors and guests.
What qualifications you will need:
· Strong working knowledge of office administrator responsibilities, systems and procedures. Proven experience in a similar role is required. Preference will be given to candidates with previous administrative experience with HCA, or in a health care setting.
· Associate degree or higher is preferred; additional qualification or certification as administrative assistant or office manager will be a plus.
· Strong organizational and planning skills in a fast-paced environment, ability to multi-task and independently prioritize work. Basic project management experience a plus.
· Attention to detail, resourceful problem-solving skills and a demonstrated ability to think critically are mandatory.
· Proven verbal and written communications background, along with experience proofreading and self-editing content; Verbally articulate, demonstrated listening skills.
· The ideal candidate will portray confidence, a sense of humor, and positive energy.
· Technical proficiency in MS Office suite and familiarity with design software (e.g. Adobe, Photoshop, Canva), online meeting platforms, e-marketing and content management systems
SCHEDULE: Hybrid position, must be local to Richmond VA, Mon - Fri, 8a - 4:30p with occasional evening meeting support as needed.
