Overview:

Our client is searching for an Administrative Assistant supporting attorneys and legal staff by ensuring smooth day-to-day operations, organizing legal documents, and managing administrative tasks. The ideal candidate is highly organized, detail-oriented, and capable of multitasking in a fast-paced, professional environment.

Key Responsibilities:

Administrative Support

Manage daily office tasks, including scheduling meetings, maintaining attorney calendars, and organizing files.

Prepare and format legal documents, correspondence, and reports.

Proofread documents for accuracy, grammar, and compliance with legal standards.

Client and Stakeholder Communication

Serve as the first point of contact for client inquiries, either in person, via phone, or email, ensuring exceptional customer service.

Coordinate with court personnel, external vendors, and other parties as needed.

Document Management

Organize, file, and retrieve legal documents, pleadings, and exhibits in accordance with firm and industry standards.

Maintain client records and case files consistently, ensuring confidentiality and compliance.

Calendar and Deadline Management

Track court deadlines, hearing schedules, and filing requirements to ensure timely submission and compliance.

Manage attorney schedules, keeping them updated on important client meetings and court appearances.

Technology Support and Office Systems

Use legal-oriented software (e.g., Clio, PracticePanther, or document management systems) for record keeping and workflow management.

Assist in troubleshooting minor technology issues and liaise with IT support when necessary.

Team Collaboration

Coordinate and communicate effectively with attorneys, paralegals, and other members of the legal team to support casework or client matters.

Contribute to a positive work environment by demonstrating flexibility and willingness to assist in other areas as needed.

Requirements

Qualifications:

Education: Associate's degree or relevant certification in administration or a related field is preferred. Experience in a legal setting is highly advantageous.

Experience: Minimum 2 years of administrative experience, preferably in a legal or professional services environment.

Skills:

Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and familiarity with legal software or case management systems.

Impeccable organizational skills and attention to detail.

Excellent verbal and written communication abilities.

Ability to multitask and prioritize effectively in a deadline-driven environment.

Soft Skills: Reliable, discreet, and professional demeanor with a client-focused approach.
