Description We are looking for a highly organized and detail-oriented Administrative Assistant to join our team in Newport Beach, California. In this long-term contract position, you will play a key role in supporting daily operations, ensuring smooth workflow, and maintaining clear and effective communication with clients. Responsibilities:

Manage general office tasks, including answering inbound calls, scheduling, and maintaining calendars.

Generate and distribute insurance certificates with a high level of accuracy and attention to detail.

Coordinate client communication, ensuring timely and effective responses to inquiries.

Organize and update data through efficient data entry and record-keeping processes.

Schedule appointments and manage meeting logistics to support team operations.

Utilize Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint, to create and manage documents and presentations.

Collaborate with team members to streamline processes and improve administrative efficiency.

Assist with email correspondence, ensuring prompt replies and accurate information sharing.

Maintain a business casual dress code, reflecting the standards of the company.

Provide additional administrative support as needed to meet company objectives. Requirements - Proven experience in administrative roles, demonstrating strong organizational and multitasking abilities.

Excellent communication skills, both written and verbal, to interact effectively with clients and team members.

High attention to detail, ensuring accuracy in all tasks and deliverables.

Reliable attendance and punctuality to maintain consistent workflow and team support.

Proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.

Familiarity with Sage 100 and Greenline software is preferred but not required.

Ability to manage schedules, appointments, and calendars efficiently.
