Administrative Assistant Support Specialist

POSITION SUMMARY: Provides administrative support functions related to the activities and operations of Birkeys precision farming department. Provides office professionalism; realizing the position is usually the first point of contact for visitors and incoming calls.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE THE FOLLOWING. Other duties may be assigned from time to time:

Provides daily service writing support for Precision Farming Department and Transportation. Support will include invoicing, as well as establishing improved ways to track parts sales, labor sales, and incentives.

Oversees Subscription Services billing process - Work with specialists to compile an accurate list of RTK receiver serial numbers for each location - Generate secure RTK codes for the locations - Work with account receivables to bill customers for yearly RTK codes and Subscription Services.

Creation, implementation, and oversight of Parts, Service, and Precision Farming standard operating procedures share point site and process.

Screens and routes telephone calls and responds to inquiries from the public and vendors by referring calls to appropriate personnel.

Performs a variety of duties in support of the administrative activities, operations, and staff.

Coordinates office supply order for entire office, receipt and distribution of incoming mail and sending outgoing items and coordinates travel arrangements as requested.

Aids in the planning and implementation of company events, including arrangements of meals for requested meetings.

Assists in training need of staff by maintaining current records of training and scheduling staff for further required training as directed by Regional Parts and Service Managers. Coordinates with appropriate corporate managers in-house training of new store parts/service Managers to be completed at the corporate office.

May provide support for the executive team in various duties as requested.

Maintains a safe working environment and adhere to company safety program at all times.

Performs other duties as assigned.

Resolve customers concerns efficiently and effectively.

Maintain a professional appearance and demeanor.

Exhibit Birkeys high level of customer service on a daily basis.

Qualifications

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. Should be able to set work priorities and work independently in the absence of supervision and be able to understand and carryout oral and written directions. Must have the ability to maintain high degree of motivation in team members to retain focus of providing highest level of customer satisfaction. The individual should have 2 4 years of related experience, steady work record, and must be able to perform each of the essential position functions. Physical Requirements: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Ability to get to and around the corporate office and store locations for various tasks. The employee would normally lift or move up to 10 lbs and occasionally lifts or moves up to 50 lbs. Ability to tolerate up and down movement with bending or stooping including reaching above and below shoulder height with arms and hands. Ability to be on ones feet for extended periods of time. Ability to operate equipment or other power equipment as necessary. Must meet health assessment requirements. Work Environment: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this job, the employee is frequently exposed to dust, odors, oil, fumes and noise. The employee is generally required to sit or stand for long periods of time. The noise level in the work environment is usually moderate. While performing duties, the employee may be near moving mechanical parts and inside and outside weather conditions. While performing duties, the employee will be subject to various outdoor weather conditions or indoor heating and air conditioning conditions.
