Summary
The Sr. Administrative Assistant at the Eye Institute provides support to the Associate Dean of Clinical Affairs and the Clinic Manager at the Eye Institute. This position reports directly to the Associate Dean of Clinical Affairs.
Essential Duties and Responsibilities
Process, and collect documentation for and monitoring of new clinical faculty appointments, faculty credentialing and privileging.
Process internal purchasing requests, check requests, capital equipment, office supplies, clinic vendor orders.
Process orders and monitor blankets for Eye Institute budget.
Process all faculty expense reimbursement reports in Concur software.
Maintains service warranty documentation for Eye Institute clinical equipment.
Create and process clinical adjunct faculty contracts.
Assist in maintaining accreditation and state inspection binders/spreadsheet to include all clinical faculty and staff credentialing information.
Assist the Associate Dean of Clinical Affairs in the coordination and scheduling of meetings and activities of the Eye Institute.
Assist with logistics, coordination, and details of special events.
Coordinate and assist in clinic operation committee meetings and other committee meetings which includes gathering of documents and preparation of meeting minutes, as assigned.
Maintain Eye Institute website with updates or additions.
Maintain Eye Institute inventory (supplies, giveaways).
Process Eye Institute room reservations.
Other duties as assigned.

Education and/or Experience
High school diploma or GED and 3-5 years administrative support experience required. One year certificate from college or technical school and/or Associates degree and 5-7 years relevant working experience desired. Must have strong computer skills including MS Word, Excel, and PowerPoint. The ideal candidate would possess excellent organizational skills, be committed toward exceptional client service; as well as possess excellent verbal and written communication skills. Bilingual abilities (English/Spanish) are a plus.

Computer proficiency in MS Office (Word, Excel, Outlook).
