We are looking for a motivated individual to join our Value Chain Management (VCM) team as an assistant supporting some of the members of the leadership team and for limited support to the broader VCM organization for activities in Switzerland. This position will work very closely with the other assistants in other locations to support the VCM leadership team and organization.
Key Responsibilities
Alongside general administration tasks and ad hoc request, you will be responsible for agenda coordination, internal and external End to End meeting coordination (leadership meetings, F2F team meetings, Townhalls, visitors), where necessary complex travel arrangements and visa application support.
Additionally, you will support any purchase order management requirements for Switzerland.
We are also looking for someone that will support the team with on-boarding of new staff including the organization of their laptop, work area, cellphone, credit card and others
Furthermore, you will act as a key contact for J&J Facility Management for office or work center layout planning.
Qualifications:
A High School Diploma is required; an Associates or Bachelor's is preferred
A minimum of 8 years of administrative experience is required
Fluency in English (written and spoken) is required; proficiency in German is preferred, and knowledge of additional languages is a plus.
Flexibility in working hours to accommodate time zone differences and travel schedules is required
Relevant experience in a global work environment, supporting a multi-national team as an assistant.
Proficiency in MS Office, with a demonstrated ability to quickly learn new technologies and processes.
Advanced PC skills, including familiarity with various systems and a solid understanding of organizational policies and procedures for task completion, presentations, and special projects.
Strong written and verbal communication skills, coupled with active listening capabilities.
Ability to work independently, demonstrating effective organization and a structured approach to tasks.
Exceptional time management and organizational skills, with the capacity to prioritize and meet tight deadlines.
Awareness and discretion in handling confidential information.
High responsiveness to urgent requests and adaptability in a fast-paced environment.
Resilience in working with demanding executives, with a personal commitment to fulfilling deliverables.

The anticipated base pay range for this position is :
$72,450 - $117,128 annually
Additional Description for Pay Transparency:
The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporation's performance over a calendar/performance year. Bonuses are awarded at the Company's discretion on an individual basis.
