MWR Academy Cadet Activity Fund
*This Administrative Assistant position supports the Cadet Activities Fund (CAF) and has yearbook advisory duties as outlined below.
ADMINISTRATIVE DUTIES :
Serve as the secondary point of contact for the day-to-day operations of the Cadet Activities Fund (CAF) Non-Appropriated Fund Instrumentality (NAFI). The Administrative Assistant follows applicable NAFI
instructions/manuals and standard operating procedures to execute the operations of the CAF. They assist in developing and executing a $1M+ budget which funds and supports the 90+ cadet extra-curricular programs and activities. The Assistant also provides support in the solicitation of various CAF NAF contracts. The Administrative Assistant provides training and guidance for cadets, faculty and staff in fiscal management and budgeting for cadet extracurricular training programs. The Administrative Assistant prepares a variety of correspondence, briefings, and reports required for day-to-day operations. They also maintain records, files, statistical data and accounting data.
Performs related work as assigned.
YEARBOOK ADVISOR DUTIES:
In the role of Tide Rips Yearbook Lead Advisor, organizes the production of the annual US Coast Guard Academy Tide Rips annual yearbook. Serve as the lead yearbook advisor for matters relating to the day-to-day operations of yearbook publication. Oversee the work of the cadet editors and cadet staff (approx. 25 cadets). Ensure deadlines are met and production is on schedule. In collaboration with Creative Design Yearbook Advisor, coordinate training, division of labor, and proofread assignments for cadet editors and staff.

QUALIFICATIONS REQUIRED :
Minimum :
Associate degree from an accredited university and/or three years of experience
Familiarity with basic financial management and procedures.
Demonstrated leadership skills.
Excellent written and verbal communication skills.
Proficiency in accounting software and Microsoft products.
Preferred (in addition to the minimum):
A bachelor's degree from an accredited university and four years of experience
Prior yearbook experience
Proficiency in desktop publishing.
Experience in graphic design, webpage creation/management, digital communication.
Proficiency in QuickBooks or other online accounting software.
