Brief Position Overview
The Associated Students of Montana State University ( ASMSU ) is seeking a highly organized and motivated individual for the position of Business Operations Manager. The individual in this position will be an integral part of the ASMSU team and will work with students, faculty, staff, parents and off campus partners. This position will serve as the first point of contact for the office and perform many of the daily operations along with being part of a team of ASMSU Advisors that will bring a support network for work, processes, and engagement. This position will report to the Administrative Director of Student Engagement.

General Statement
The Associated Students of Montana State University ( ASMSU ) is the elected voice of MSU -Bozeman students. ASMSU enhances the student experience by offering leadership opportunities, student employment, and non-academic programming and services funded through student activity fees. This position serves as the Business Operations Manager for ASMSU , playing a critical role in ensuring smooth business operations, student support, and fiscal compliance.

Duties and Responsibilities
Provide administrative and project support to student government.
Serve as the first point of contact for ASMSU , including visitors, students, faculty, staff, and external partners.
Manage multiple calendars, coordinate travel, and schedule meetings with internal and external stakeholders.
Coordinate logistics for events and programs: reserve venues, handle catering, manage invitations, and prepare materials.
Organize and maintain all public records including agendas, minutes, and documentation for ASMSU meetings.
Maintain and update ASMSU webpages within the university's content management system and per applicable university policy on the montana.edu domain; and other digital communications.
Oversee procurement and purchasing of goods and services; review and approve financial transactions.
Submit and reconcile travel and expense reports.
Maintain and audit inventory of office equipment and supplies.
Manage HR-related tasks including time sheet approval, hiring paperwork, and onboarding for student staff.
Provide training and supervision for student front desk employees.
Serve as the operational lead for the ASMSU Club Funding Program.
Supervise and support the Club Funding Assistants, ensuring proper student organization spending using student fee dollars.
Work closely with Fiscal Shared Services and central finance to ensure resources are used in accordance with university policies and procedures related to business procedures, purchasing policies and procedures, and travel policies.
Participate as a key member of the ASMSU Advising Team in supporting student leaders and program operations.
Required Qualifications - Experience, Education, Knowledge & Skills
Bachelor's degree or a combination of education and/or applicable experience.
Experience performing complex administrative tasks independently.
Experience supporting a high-functioning, dynamic team or organization.
Ability to create and manage professional communications across various audiences.
Possess the clear ability to maintain confidentiality.
Preferred Qualifications - Experience, Education, Knowledge & Skills
Knowledge of Montana State University policies and systems.
Familiarity with Banner and Microsoft Office.
Experience with HR functions, fiscal shared services, or administrative operations.
Experience working with or for student government in a higher education setting.
Event planning and logistics coordination experience.
Prior work in a professional office setting.
