The Office of General Counsel is actively seeking an Office Administrator.

This position reports to the General Counsel and is responsible for the day to day office management of the General Counsel's Office.
Examples of Work
Manages the TABS billing system including but not limited to running reports, opening/closing matters, processing billing inquiries from departments and independent agencies, year-end close out.
Managers staff, including paralegals, assistants and clerks.
Encumbers funds as needed.
Collects outstanding payments from independent agencies.
Prepares budget transfers (BTs) and transfer directives (TDs) as needed.
Prepares draft budget for management review.
Prepares the annual property report (inventory).
Tracks vacancies on position control and coordinates with Employee Services as needed.
Purchases office supplies, creates blanket or purchase orders, and obtains quotes.
Oversees the Office of General Counsel's website and updates as needed.
Provides assistance to the Duval Delegation as needed.
Maintains inventories of office items such as computers, printers, cell phones, etc.
Plans, reviews and coordinates the fiscal year planned travel within the department.
Administers and reviews attorney travel requests and required documentation.
Arranges payment processing for lodging and registration fees incurred.
Maintains an internal database that records all travel transactions.
Initiates travel expense reports in 1Cloud and monitors until the payment and reimbursement have been disbursed.
Assists with public records requests.
Performs related work as required.

A five year combination of education and professional experience providing advanced level administrative support. A Bachelor's degree from an accredited institution in business administration, public administration or a related field is preferred.
