Johnson & Johnson is recruiting for a Sr. Administrative Assistant in Raritan, New Jersey.
Per our J&J Flex Policy, the expectation for this position is to work in office 3-4 days per week and work from home 1-2 days per week.
The Sr. Administrative Assistant will support the Solid Tumors Vice President and several members of her leadership team in Global Medical Affairs, Oncology.
Job description:
Provide full administrative support and project coordination to the VP of Solid Tumors, Global Medical Affairs, Oncology and senior leaders and other department personnel
Manage multiple complex calendars, as well as booking domestic and international travel
Maintain flexibility, anticipation, and advanced organizational skills which are essential for arranging and adjusting to changing daily schedules
Schedule and prioritize all logistics for internal and external meetings -- including drafting of attendee list, invitations, acting as point of contact for attendees, off meeting site contracting,
Utilize technology to optimize all business interactions to include all virtual meetings, to include Zoom and Teams
Manage catering and room setup with tech equipment as needed
Proactively seek out opportunities to make team management and oversight more efficient
Aid in developing project communications, including but not limited to PowerPoint decks, Word documents, Excel spreadsheets, SharePoint administration, etc.
Respond to complex inquiries from all levels of employees or external sources regarding a variety of questions across multiple time-zones and cultures
Facilitate and manage interview scheduling and Totality administration when needed
Prepare monthly expense reports through Concur.
Assist Executive Operations Coordinator in maintaining team distribution lists and other global administrative tasks across the team
Partner with all team administrative assistants as needed across the Global Medical Affairs Oncology team to provide seamless support
Qualifications
High School diploma is required
Minimum of 6 years of administrative experience is required (previous Pharma experience supporting larger teams/supporting Sr. executives preferred)
Able to maintain confidentiality, establish secure filing procedures and safeguard materials and information is required.
Must have a keen sense of prioritization, organization, and time management to ensure maximum effectiveness for the benefit of the team.
Advanced proficiency with Microsoft office programs (Word, Excel, PowerPoint, Outlook, Teams, etc.) is required.
Advanced proficiency with productivity tools and portal technology is required (Our Source, Zoom, Teams Meetings, eMarketplace, Concur, Our Source, Workday, Totality, ASK GS, SharePoint)

The anticipated base pay range for this position is :
$51,450 - $80,000
Additional Description for Pay Transparency:
The Company maintains highly competitive, performance-based compensation programs. Under current guidelines, this position is eligible for an annual performance bonus in accordance with the terms of the applicable plan. The annual performance bonus is a cash bonus intended to provide an incentive to achieve annual targeted results by rewarding for individual and the corporation's performance over a calendar/performance year. Bonuses are awarded at the Company's discretion on an individual basis.
