A challenging opportunity is available for a self-motivated, hard-working individual to fill an Administrative Assistant II position at Honeymoon Island Administration. The candidate will be required to work independently with minimal supervision, providing assistance to staff and park management supporting Honeymoon Island Administration, which consists of Honeymoon Island State Park, Caladesi Island State Park, Anclote Key Preserve State Park, and Egmont Key State Park. Typical working hours: daily from 8-5, Monday-Friday.

Your Specific Responsibilities:
DUTIES AND RESPONSIBILITIES:
Compliance with the processing requirements of Chapter 215.422, F.S. is mandatory. Persistent failure to comply with this section by any agency of the state shall constitute good cause for discharge of employees duly found responsible, or predominantly responsible, for failure to comply.
FiscalResponsible for improving the efficiency and effectiveness of the business and financial operations and applying appropriate FDEP and FPS directives and policies. Assist Park Manager in planning, coordinating and implementing all administrative activities related to the management of the administrative unit's budget for four state parks. Tracks expenditures in various budget categories using Quicken accounting software. Reconciles expenditures and encumbrances against SAMAS/FLAIR. Tracks project budgets and updates entries to PPMTS. Prepare daily monthly and annual financial reports.
Purchasing:Researches and arranges for purchasing of goods and services. Prepares requisitions for goods and services and processes invoices in MFMP, processes p-card transactions, and performs other duties related to purchasing. Confers with vendors and users to discuss defective or unacceptable goods or services and determines corrective actions. Ensures that all transactions adhere to the States purchasing guidelines.
Contract Management:Assists the Park Manager in the development of Scopes of Work for work projects, prepares bidding documents and e-quotes, gathers required licenses and insurance documentation processes payments and completes required completion paperwork.
Administration:This position is the administrative units FLEET Coordinator responsible for entering vehicle logs in to Oculus, prepares travel requests in STMS, requests employee p-cards, fuel cards and miscellaneous fuel cards. Prepares Personnel Action Requests and Personnel Action Change Notices. Assists with hiring and talent management utilizing People First.
Property Management:Manages the administrative units Property Tracking Program. Performs annual property inventory, processes paperwork for the acquisition, and disposition of property. Maintains property files.
Visitor Services:Explains facilities and services provided for public use and enjoyment. Meet visitors and answers questions and provide information and directions. Attempts to resolve visitor complaints while maintaining good public relations.
Office Management:Provides oversight of the Administrative Assistant I duties. Ensures that administrative functions for the parks run efficiently. Performs the duties of Administrative Assistant I in their absence.
OTHER-Performs other related duties as required.
