SUMMARY:
The Warehouse Assistant Team Leader oversees the daily operations of the warehouse, ensuring efficient organization and placement of goods. Responsibilities include managing the flow of first-sort donations, maintaining equipment, overseeing supplies and procurement, coordinating with transportation and waste management partners, and supporting the allocation and distribution of new goods. This position will also collaborate with the Retail Administration team to ensure a cohesive and well-coordinated donated goods department.The Warehouse Assistant Team Leader will ensure that all activities align with the mission and values of Goodwill of the Finger Lakes. Additionally, this role upholds and promotes the organization's mission and values while actively contributing as a Retail Division team member to support departmental and organizational goals.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
OVERSEES THE DAILY OPERATIONS OF THE WAREHOUSE
Maintains overall warehouse organization, ensuring cleanliness and safety.
Must be trained and proficient in all aspects of the warehouse operations.
Oversees product rotation within prescribed timeframes to maximize sales.
Inspects incoming trailers for accuracy and condition.
Verifies manifests against trailer loads for accuracy
Manages the flow of first-sort donations and storage.
Work with all team members within their assigned duties to be able to coaching, to support and evaluate performance of employees and processes.
Ensures warehouse equipment remains in proper working order, promptly reporting issues to the proper outlet for all service needs. Maintains quarterly preventative maintenance logs.
Support with Salvage as needed.
Support sustainability projects as required.
Promote loss prevention awareness and actively support related initiatives.
SUPPLIES AND PROCUREMENT
Identifying Supply Needs - Assessing inventory levels and determining necessary supplies to support retail operations.
Sourcing Vendors - Researching and selecting reliable suppliers that provide quality products at competitive prices.
Negotiating Contracts & Pricing - Securing favorable terms, pricing, and contracts with suppliers to optimize cost savings.
Placing and Tracking Orders - Ensuring timely procurement and delivery of supplies while monitoring order status.
Inventory Management - Collaborating with warehouse and store teams to maintain optimal stock levels and prevent shortages or overstocking.
Quality Control - Ensuring purchased supplies meet quality standards and addressing any defects or discrepancies with vendors.
Budget Management - Monitoring and managing procurement expenses to stay within budget and improve cost efficiency.
Compliance & Sustainability - Ensuring all supplies meet company policies, safety regulations, and sustainability initiatives.
Vendor Relationship Management - Building and maintaining strong relationships with suppliers for reliable service and future negotiations and request monthly business reviews from the vendors.
Record-Keeping & Reporting - Maintaining accurate procurement records, invoices, and reports for tracking and auditing purposes.
LIAISON WITH TRANSPORTATION AND WASTE MANAGEMENT VENDORS
Communication & Coordination - Serving as the main point of contact between the organization and the vendor to ensure smooth operations and clear communication.
Contract & Agreement Management - Reviewing and ensuring compliance with vendor contracts, agreements, and service level expectations.
Issue Resolution - Addressing and resolving any concerns, disputes, or service-related issues promptly.
Order & Supply Management - Coordinating orders, deliveries, and inventory needs to ensure timely and accurate supply chain flow.
Performance Monitoring - Evaluating vendor performance based on service quality, timeliness, and adherence to agreements.
Cost Control & Budgeting - Assisting in managing costs by negotiating pricing, identifying cost-saving opportunities, and ensuring budget adherence.
Compliance & Quality Assurance - Ensuring vendors meet industry regulations, safety standards, and company policies.
Reporting & Documentation - Maintaining records of transactions, communications, and performance reports for accountability and future reference.
Relationship Building - Fostering a positive and productive working relationship with vendors to enhance collaboration and service quality.
SUPPORTING THE ALLOCATION AND DISTRIBUTION OF NEW GOODS
Efficiently processes New Good basic orders for retail locations with accuracy and timeliness.
Supports retail leaders in completing order forms when needed.
Verifies incoming products using the new goods allocation sheet and distributes them to retail stores or warehouse back stock.
Conducts cycle counts and assists with inventory preparation as necessary.
SUPERVISES EMPLOYEES IN ACCORDANCE WITH THE ORGANIZATIONS POLICIES AND APPLICABLE LAWS
The Warehouse Assistant Team Leader supervises employees in accordance with the organization's policies and applicable laws. Key responsibilities include:
Recruitment & Retention - Recruiting, interviewing, selecting, and working to retain quality employees.
Employee & Volunteer Supervision - Managing and overseeing employees and volunteers at each location.
Training & Development - Providing training, coaching, and ongoing communication to ensure employees perform their job functions effectively.
Team Meetings & Engagement - Holding regular meetings to update staff on important news and maintain engagement. Notes to be kept on file.
Scheduling & Timekeeping - Preparing work schedules, approving time cards, managing PTO requests, and ensuring proper recordkeeping of hours worked.
Payroll Processing - Completing and submitting payroll paperwork to the finance department in a timely manner.
Performance Management - Setting daily, weekly, and long-term team goals, monitoring performance, and ensuring work meets expectations.
Policy Enforcement - Communicating and enforcing company policies and procedures to maintain compliance.
Task Delegation & Problem-Solving - Identifying, organizing, and prioritizing tasks while troubleshooting challenges as they arise.
Employee Development & Discipline - Partnering with People Resources to support employee growth and handle disciplinary actions when necessary.
Performance Reviews - Conducting employee evaluations as required to provide feedback and encourage professional growth.
Volunteer Oversight - Managing community volunteers, WEP workers, and other assigned personnel in the warehouse and salvage operations.

SALES, FINANCIAL MANAGEMENT, AND PRODUCTIVITY
The Warehouse Assistant Team Leader plays a crucial role in driving sales, managing financials and achieving departmental profit and productivity targets. Must be proficient in Microsoft Office Applications, including Excel, Word, Power Point, SharePoint and Teams.
Key responsibilities include:
Achieving Key Performance Metrics.
Monitor and review data daily collected for warehouse inventory, trailer manifesting, both outgoing and incoming, to ensure adherence to process
Meeting or surpassing budgeted revenue goals.
Maintaining targeted revenue-to-expense ratios.
Delivering on budgeted surplus objectives.
Managing labor costs in alignment with sales performance.
Ensuring adherence to organizational safety standards.
Financial Reporting & Compliance:
Preparing and submitting financial and operational reports to management as required.

Reviewing and addressing customer concerns in a timely and appropriate manner.

QUALIFICATION REQUIREMENTS:
To perform this job successfully, an individual must be able to demonstrate proficiency in meeting competencies required for position; able to perform each essential duty satisfactorily with or without reasonable accommodations. EDUCATION AND EXPERIENCE:
Associate degree or equivalent education and experience. Minimum 3 years of experience working in a retail environment preferred. Minimum 2 years' experience with E-Commerce listing/buying/selling practices and procedures preferred. Proficient in Microsoft Word, Excel, and Outlook.
LANGUAGE SKILLS:
Able to read and write reports, compile data as needed. Communicates effectively with others and provides essential customer service duties either verbally or via computer e-mail.
REASONING ABILITY:
Able to define problems, collect data, establish facts, and draw valid conclusions. Able to interpret instructions furnished in written, oral or diagram form.
PHYSICAL DEMANDS:
While performing the duties of this job, the employee is regularly required to sit and for extended periods of time and to work extensively with computers and camera equipment. The employee will be required to frequently lift and/or move up to 5 - 20 pounds. The employee needs to have reasonable mobility.
WORK ENVIRONMENT:
While performing the duties of this job the employee is usually working in a combination of a warehouse and retail store environment. At times this employee may be exposed to the outside environment. The noise in this environment will be moderate to loud. May require travel to other states or Goodwill territories.
