We are recruiting an Executive Administrative Assistant to VP, Biomarker and Bioanalytical Platforms (BBP), and VP, Portfolio Planning, in Precision Medicine (PMed), working closely with other Administrative Assistants supporting PMed. The ideal candidate is proactive, detail-oriented, and possesses excellent communication and technology skills. This role is pivotal in ensuring smooth day-to-day operations and contributing to the efficiency of our R&D efforts.
In this role you will...
Provide comprehensive administrative support to the VPs, including managing calendars, scheduling meetings, and coordinating/booking travel arrangements.
Oversee and coordinate administrative tasks, such as expense reports, invoices, and purchase orders.
Liaise with other administrative staff and departments to ensure seamless operations.
Coordinate team meeting organization, arrange venue and logistics.
Coordinate onsite meetings, events and activities
Support project management activities by tracking timelines and deliverables and following up on action items.
Maintain document management systems and ensure records are organized and readily accessible.
Handle inquiries and requests from team members, providing information and guidance as appropriate.
Facilitate effective communication and collaboration across departments and teams.
Welcome and pick up visitors to GSK site.
Be proactive in bringing forward proposals to enhance efficiencies within and across teams

Basic Qualifications & Skills:
We are looking for professionals with these required skills to achieve our goals:
Bachelor's Degree
Relevant work experience in an administrative or office event supporting role.
Experience organizing and managing events, scheduling, and operations.
Experience coordinating team meetings, arranging venues and managing logistics.
Experience in Microsoft Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
Experience handling sensitive information confidentially.
Preferred Qualifications & Skills:
Proven experience as an administrative assistant or in a similar position, preferably in R&D or scientific environments.
A strong appetite for new technologies and Systems (AI, etc.)
Exceptional organizational and time-management skills, with the ability to multitask and prioritize effectively.
Strong written and verbal communication skills, with attention to detail and accuracy.
Discretion and confidentiality in handling sensitive information.
Ability to work independently and collaboratively in a fast-paced environment, to build and maintain positive relationships with key stakeholders.
