We are seeking a highly motivated and adaptable Administrative Assistant to join our team. Our team supports all our products and business across the globe and are challenged to creatively apply deep legal expertise to rare and often unexplored aspects of the law. As a part of our team, you'll provide critical support to defending our interests and uphold Apple's high ethical and corporate standards. Description
The Administrative Assistant role will support multiple calendars, as well as provide excellent, comprehensive administrative and operational support to the Commercial Litigation team. The highly motivated, customer-centric candidate will be responsible for both general executive administrative tasks as well as some operational and project coordination activities:
Assist in managing daily calendars, demonstrating flexibility and problem-solving abilities to adjust or prioritize schedules based on last-minute changes
Coordinating domestic and international travel arrangements for select team members
Facilitating expense reporting processes
Supporting all Facilities activities for the team
Coordinate activities and projects across departments, ensuring timely and efficient completion of tasks.
Maintain an organization-wide calendar and assist staff as needed for scheduling and meeting coordination.
Assist with special projects as required and support the overall administrative efficiency of the team.
Manage sensitive and confidential information while maintaining a high level of professionalism.
Contribute to a positive, productive, and respectful work environment by demonstrating strong emotional intelligence, diplomacy, and communication skills.
Provide precise, detailed, and accurate administrative support in a fast-paced environment.
Demonstrate relationship management skills, working effectively with both the Legal and Administrative teams to meet common objectives.
Minimum Qualifications
2-5 years of experience supporting executives/directors/managers, preferably in a legal or corporate setting. Notary and legal experience is a plus.
Experience managing complex calendars, including prioritizing meetings, video calls, and resolving scheduling conflicts proactively
Extensive experience in managing executive-level administrative tasks, including complex travel coordination and arrangements, expense reports, and facilities requests
Strong editing, and proofreading skills.
Exceptional organizational skills with the ability to juggle multiple competing priorities.
Experience handling highly confidential and sensitive materials with proven ability to exercise good judgment and act with integrity and discretion
Preferred Qualifications
Ability to remain calm and focused under pressure, with flexibility to adjust priorities on short notice
Excellent written and verbal communication skills, with a polished professional presence.
Excels in a fast-paced deadline driven environment while maintaining composure
Accustomed to problem-solving issues in a timely manner and proactively communicating decisions to appropriate individuals
Looks ahead and able to resolve issues before they become one
Strong professional presence - this role requires exposure and communications with ET Staff and Support Teams
Flexible attitude and willingness to lean in to solve problems
Pay & Benefits
At Apple, base pay is one part of our total compensation package and is determined within a range. This provides the opportunity to progress as you grow and develop within a role. The base pay range for this role is between $41.00 and $61.50/hr, and your base pay will depend on your skills, qualifications, experience, and location.
