General Description:

BeOne Medicines is seeking an experienced Senior Administrative Assistant to support GCSO team members and other department members located on the west coast. The person will need to report to the San Carlos office in person three days a week. We seek an experienced problem-solver with exceptional flexibility to work across multiple disciplines within the Global Commercial and cross-functional teams. Additionally, the ideal candidate will have exceptional communication skills, the ability to manage the needs of many, be self-motivated, and demonstrates resourcefulness in building relationships across the global BeOne organization.

This role has an on-site component at our San Carlos, CA office.

Essential Functions of the job:

Provide administrative support for the west-coast-based GCSO team members (Directors to Executive Directors) other department members.

Manage complex/heavy calendaring, scheduling, expenses and travel.

Understand business priorities and proactively look for ways to streamline the support matrix.

Build and maintain key external relationships via the core business' needs.

Build and maintain internal cross-functional relationships across BeOne.

Ensure and maintain confidentiality of all appropriate communications and documentation.

Partner across the Global Commercial Strategy and Operations team.

Partner closely with Congress and Events team in GCSO and BeOne's Building Services to help organize and coordinate in person meetings in the San Carlos office as needed.

Schedule and coordinate candidate phone, video, and in-office interviews.

Support onboarding new hires.

Process purchase requisitions and contracts.

Provide assistant as needed for assigned department.

Contribute to a positive work environment.

Have fun at work and help others to do the same.

Education Required:

High School education required.

Bachelor's degree is a plus.

Qualifications:

HS Degree with 7 plus years of experience assisting high level leaders; multiple disciplines a plus.

Bachelor's degree is a plus.

Extensive experience in efficiently multi-tasking between business partners and priorities.

Ability to take on increased responsibility as the company grows.

Ability to independently work in an ambiguous yet fast-paced environment. Ability to work independently in a fast-paced environment with constantly changing priorities.

Strong organizational and communication skills, team-oriented philosophy, and problem-solving skills.

Demonstrated ability to relate well with all levels of management and peers.

A positive can-do attitude; Sense of humor is highly valued.

Computer Skills:

High level of proficiency with Microsoft Office, Outlook, Concur, Zoom
