JOB SUMMARY:

Assist in the overall operation and administration of the City Secretarys Office including scanning documents, filing, and maintaining databases. Maintain confidential information and excellent customer service.

ESSENTIAL FUNCTIONS:

Assist with the daily operations of the City Secretarys Office

Prepares Council Chambers for Council Meetings

Assists with newspaper publications and codification of city ordinances

Scan/index documents, minutes, ordinances, resolutions, contracts into imaging system or archiving

Assist with maintenance of the City Secretary, Boards and Commissions and Elections webpage

Assist with coordination of municipal elections

Responds to requests for Public Information in accordance with the Texas Public Information Act

Assist with lien requests including preparation of lien documents and filing of with appropriate county

Assist with Alcoholic Beverage licenses including preparation of permits in accordance with the Texas Alcoholic Beverage Commission and City Charter

Perform other administrative duties such as filing, answering phone, making copies/scans, process requisitions, and other duties as requested

Assist in the posting of board and commission agendas on the website and official bulletin board

In the absence of the City Secretary, assist with the preparation of the city council agenda, attend council meetings, and prepare meeting minutes

Qualifications

High School Diploma or equivalent required. Associate degree preferred. Five (5) years of directly related experience required. Experience in municipal government preferred. Work requires the ability to understand operational, technical and office processes.

Special Requirements

Knowledge and proficient experience with Microsoft Office, Google Docs, Gmail, and Excel. Must be able to work independently, have excellent attention to detail, and deadline driven.

Miscellaneous Information

PHYSICAL REQUIREMENTS:

Work is predominantly sedentary. Required to exert up to 10 lbs. occasionally.

May be required to lift, hold and carry office supplies and equipment.

Required to sit, stand, reach, twist and walk to perform duties.

Fine dexterity and manipulation necessary to operate computer keyboard and office equipment.

Work is indoors in office environment
