ABOUT THE ADMINISTRATIVE ASSISTANT {rel="nofollow"}POSITION: The Yakima Valley COG is a small group of highly professional and dedicated staff committed to making a difference in the Yakima Valley Region. The Administrative Assistant prepares agendas, scribe's minutes, monitors contract processing, handles mail, greets visitors, codes invoices with expense accounts, sets up and tears down meetings, schedules meetings on calendars, and prepares invoices for specific contracts or grants. This dedicated person is responsible for record retention, destruction of records, and processing record requests within the law. The Administrative Assistant is a vital role that handles multiple activities in a fast-paced environment. This is an on-site position Monday -- Friday with occasional evening meetings. Essential Duties Prepare documents for multiple meetings, including agenda packets Takes notes during meetings and scribe's accurate minutes Prepare meeting rooms and tears down meeting rooms Tracks and monitor contract processing, including setting up folders once executed Greets visitors Handles outgoing and incoming mail with date stamps Schedules meetings for appropriate personnel on their calendars Codes invoices with correct account codes for input Handles documents needing signatures Coordinates records requests, record destruction, and retention according to state law Prepares letters, spreadsheets, and other documents Makes copies, phone calls, and other business activities for staff This list of job responsibilities is not all inclusive. Minimum Preferred Skills Highly organized with great attention to detail. Be able to thrive in a fast-paced work environment. Flexible and willing to perform other tasks as assigned. Proficient in grammar and writing Self-starter and able to work independently and with a team. Able to communicate effectively with the team and the public. Principles and practices of record keeping, business letter writing and standard format for notifications and correspondence. Modern office practices, methods, and computer equipment and applications.
