POSITION SUMMARY

This full-time, entry-level position reports to the Office Manager and supports our engineering and project teams with a variety of administrative tasks. The Administrative Assistant plays a vital role in keeping our office organized, professional, and client-ready. Youll be involved in everything from greeting guests and answering phones to compiling project documents and supporting financial processes.

Youll work closely with internal and external teams throughout all phases of our projects, gaining exposure to a wide range of engineering services and business operations.

RESPONSIBILITIES

Serve as the first point of contact for visitors and callers

Maintain office supplies and coordinate with vendors

Assemble project documents and promotional materials

Support project teams with document production and quality control

Track shop drawings and manage project data in our CRM/ERP systems

Assist with financial tasks, including invoice processing and expense tracking

Learn and teach others how to use office software and equipment

MINIMUM QUALIFICATIONS

The successful candidate will demonstrate:

Strong communication and organizational skills

Proficiency in Microsoft Office Suite

Valid drivers license for occasional office errands

Friendly, professional demeanor and a team-oriented mindset

PREFERRED QUALIFICATIONS

Associate degree in business, technology, or systems

Experience in construction or engineering environments

Familiarity with Adobe InDesign, SpecLink, Unanet CRM, Unanet AE ERP, and shipping platforms (UPS, FedEx)
