The Administrative Assistant provides high-level administrative support to Valley View Health Centers, with a primary focus on Pharmacy Services and VVHC administrative operations. This role supports leadership, accreditation, compliance, purchasing, scheduling, and data management while serving as a gatekeeper for confidential and time-sensitive information.

The Administrative Assistant communicates professionally via phone, email, and written correspondence and ensures work is completed accurately, efficiently, and on time. This position may direct or coordinate the work of others and relies on experience, sound judgment, creativity, and discretion to meet operational and compliance expectations.

Administrative Support -- Pharmacy Services

Estimated Effort: 45%

Conduct research in electronic medical records to support pharmacy claims and incorporate external records into patient medical records.

Submit written requests for external medical records related to pharmacy claims.

Conduct monthly audits related to diversion and duplicate discounts and report findings to the Director of Pharmacy Services.

Maintain auditable records of all pharmacy-related administrative work.

Compile, track, and communicate key performance metrics related to pharmacy services.

Assist with additional pharmacy-related administrative functions as assigned.

Administrative Support -- Valley View Health Centers

Support the VVHC Administrative Team by reading, researching, and routing correspondence; drafting documents; collecting and analyzing information; and initiating communications with internal and external partners.

Plan and schedule meetings, conferences, teleconferences, interviews, and travel as requested.

Maintain administrative calendars for assigned staff and coordinate activities with other departments, agencies, and the public.

Coordinate and arrange special events and meetings, including room setup, notifications, and preparation of materials.

Create and submit purchase orders; assist with procurement; and submit documentation related to assigned credit card charges.

Provide administrative support for VVHC accreditations by gathering documentation and coordinating applications, site visits, and compliance materials.

Schedule and coordinate interview experiences for candidate searches at all levels.

Assist VVHC leadership and administrative staff with daily duties and special projects.

Maintain confidentiality of sensitive operational, personnel, and patient-related information.
