Job Description -- Administrative Assistant

Essential Functions: The Employee must be self-motivated and able to work with or without supervision during flexible working hours. Competency and courtesy must be exhibited at all times in dealing with members and the public. Proficiency in basic computer skills and office management is required.

Responsibilities

Duties include, but are not limited to the following:

The Employee is the first point of contact between the members and the public with the Valley. These contacts must always be conducted with cordiality and competency. These contacts are accomplished in person, via email and by phone.

The Employee is responsible for the daily opening and closing of the facility. Daily inspection of the facility is required and any discovered issues reported to the Secretary immediately.

The Employee must be fluent with basic computer operation. This includes the use of email, Microsoft Office Suite (Word, Excel, Publisher and PowerPoint), Chimpmail, QuickBooks (or equivalent), and Journey 365. Training in mission-specific programs will be provided. Frequent updates to the website are necessary.

The Employee is responsible for coordinating the use of the facility by outside individuals or groups who are interested in renting the facility. This includes taking their requests, giving tours of the available parts of the facility, and providing to the Secretary a signed Facility Use Agreement.

Some basic maintenance duties are included, such as checking electrical breakers, turning heating valves, etc. Any maintenance needs beyond very basic duties are to be reported to the Valley Secretary.

Timely production of newsletters, letters and announcements is necessary. This is accomplished through coordination with others, production of the documents and coordination with outside printers.
