Under the supervision of the Council on Aging Director, the Administrative Assistant shall perform the organizational, clerical, and financial tasks to support the Dracut Council on Aging. Receives all incoming communication for the Senior Center by answering phones, greeting guests, and answering questions at the Reception Desk.

Essential Duties and Responsibilities:

Balances daily cash receipts and perform accounts payable/receivable functions: including payroll.
Prepares monthly report on transportation related expenses.
Prepares monthly budget report for COA Board.
Greet visitors and provide clients with information, assist with sign-ups for all Senior Center events, activities, and services along with giving tours of the Senior Center.
Handles heavy telephone and walk-in traffic.
Assist in maintaining the COAs medical loan program.
Assist in updating content on website and social media.
Opens and processes mail; distributes reports to appropriate people, driving to Town Hall as needed.
Prepare correspondence including thank you cards and meeting minutes.
Assist Director with annual Tax Work-off program.
Keeps inventory of office, kitchen, coffee bar, and snack supplies and reorders as needed.
Orders office supplies and maintenance supplies for equipment.
Utilizes the MySeniorCenter tracking software to: Keep updated residency, contact, and emergency information on program participants and maintain attendance statistics for Senior Center events and activities.
Performs other related duties as required.

Qualifications:
High school diploma or equivalent required; Associate degree in business, accounting, or related study of area preferred.
Minimum of 2 years experience related to office management and/or customer services, bookkeeper, accountant, receptionist, or equivalent combination of education and experience.
Strong knowledge and proficiency with computers and computer software, including Microsoft Office, as well as accounting and bookkeeping skills.
Ability to communicate effectively with the public, maintain detailed records, and communicate clearly both orally and in writing.
Knowledge of general office practices and procedures, including processing accounts payable and receivable.
Ability to work either independently or with other employees and meet required deadlines.
Ability to work in a fast paced, often demanding environment while maintaining an excellent level of customer services
Shall be well organized and detail oriented.
Ability to treat clients with respect and always maintain confidentiality and discretion.
