We are seeking a highly organized and detail-oriented Construction Administrative Assistant / Project Coordinator to support our construction management team. This role involves coordinating project activities, maintaining accurate documentation, communicating with clients and subcontractors, and ensuring smooth day-to-day operations across multiple projects. The ideal candidate will have strong administrative skills, familiarity with construction processes, and the ability to multitask in a fast-paced environment.

Key Responsibilities:

Provide administrative support to project managers, superintendents, and field staff.

Prepare, review, and maintain project documentation, including contracts, change orders, RFIs, submittals, permits, and closeout documents.

Track project schedules, deadlines, and deliverables to ensure timely completion.

Assist with budget tracking, invoice processing, and expense reports.

Maintain and distribute meeting notes, project updates, and progress reports.

Communicate with clients, subcontractors, vendors, and inspectors regarding project status and requirements.

Coordinate job site logistics, deliveries, and subcontractor scheduling.

Ensure compliance with company policies, safety standards, and local building regulations.

Support bidding and estimating processes by organizing documents and subcontractor proposals.

Maintain organized electronic and physical filing systems for all project-related materials.

Qualifications:

High school diploma required; associates or bachelors degree in construction management, business, or related field preferred.

2+ years of administrative or project coordination experience (construction industry experience strongly preferred).

Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and project management software (Procore, Builder trend, or similar).

Strong organizational skills with the ability to manage multiple priorities.

Excellent communication skills, both written and verbal.

Detail-oriented with strong problem-solving abilities.

Ability to work independently and as part of a team.

Preferred Skills:

Knowledge of construction terminology, contracts, and processes.

Experience coordinating subcontractors and vendors.

Familiarity with permitting processes and municipal requirements.

Experience with financial tracking and job cost reporting.

Work Environment:
