We are excited to be recruiting for the Rebuild USVI - St. Thomas Educational Facilities Bundle 2 project, a transformative initiative modernizing five school campuses and one administration building across St. Thomas. Funded through FEMA and in partnership with the U.S. Virgin Islands Office of Disaster Recovery, this project will create resilient, future-ready educational spaces - from innovative classrooms to gyms designed as hurricane shelters - giving our team the opportunity to make a lasting impact on the community.

POSITION SUMMARY:

The Construction Project Assistant provides administrative, reception, and document control support to the Joint Venture (JV) project team. This position plays a key role in ensuring the smooth day-to-day operation of the project office by managing reception duties, coordinating logistics, maintaining supplies, and supporting general administrative activities. This position is based in St. Thomas, USVI.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Reception and Office Administration

Serve as the first point of contact for visitors, clients, and vendors, ensuring a professional and welcoming environment

Manage incoming and outgoing mail, courier collections, and deliveries

Answer and direct phone calls and general inquiries to the appropriate team members

Maintain the reception and common areas in an orderly and professional manner

Order and manage office and administrative consumables (e.g., stationery, refreshments, supplies)

Administrative Support

Provide administrative assistance to the Project Manager and team as required

Coordinate meeting arrangements, including booking meeting rooms, preparing materials, and ensuring equipment is available

Support the organization of events, site visits, and travel logistics (e.g., hotel bookings, transport arrangements, catering)

Assist with document management, filing, scanning, and maintaining project records.

Liaise with vendors and service providers as needed

Support compliance with JV administrative procedures and company policies

Document Control

Assist with the organization, distribution, and tracking of project documents, drawings, and correspondence

Ensure that document management procedures are followed in accordance with JV standards

Maintain accurate and up-to-date records within the document control system

Support the project team with the retrieval and submission of controlled documents as required

General Support

Assist with ad-hoc administrative or coordination tasks assigned by project leadership

Collaborate with other departments (Finance, HR, Procurement, etc.) to ensure efficient project operations

Other administrative duties as assigned

QUALIFICATIONS:

At least 2 years of experience performing the duties described above

Associate Degree in Business Administration or related field a plus

Strong proficiency in Microsoft Offi
