STScI's Business Support Branch seeks a Senior level Administrative Assistant to provide high- level customer service to the Office of Public Outreach. You will provide administrative support including travel coordination, procurement, data management, problem resolution, electronic circulation and filing of documentation, coordination of calendars, and meeting other requests.

This position currently supports hybrid work, with on site presence Tuesdays, Wednesdays and Thursdays on our Baltimore campus.

Candidates must reside in or be willing to relocate to our local market. (MD, DE, VA, PA, DC, WV).

U.S. citizenship or permanent resident status is needed to meet ITAR requirements.

Responsibilities include:

Providing primary administrative support for the institute's Postdoc program, emeritus staff, and sabbatical

Assisting the Postdoc program with position requisitions, computer ordering, housing assignments,

Processing a high volume of travel documents and check

Processing purchase requisitions, monitoring purchase orders, and processing

Serving as property custodian, maintaining a list of assets for the Science Mission Office.

Serving as Scientific Burst Email coordinator, assisting with scheduling of mass communications.

Serving as backup for the institute's Visitor

Qualifications:

7+ years prior administrative experience

High School graduate or equivalent

Ability to work independently and prioritize work requests, with strong attention to detail

Intermediate to expert level skills in Outlook and Microsoft Office, especially Excel

Familiarity with Deltek/Costpoint and HTML is a plus

Ability to cultivate and develop collaborative working relationships with internal and external

The salary range for this role is $53-61,000 annually. The posted salary range represents a general guideline; however, STScI considers a number of factors when determining base salary offers, such as internal pay equity, the scope and responsibilities of the position, the candidate's experience, education, and skill, and current market conditions.
