Position Summary

The Administrative Assistant provides administrative and file management support to Snow Belt Housing Company, working under the direction of the Accounting Manager. This position is primarily responsible for maintaining organized, accurate, and up-to-date files and documentation in support of the Property Management, Property Rehabilitation, and Homeless Prevention departments. The role plays a key part in supporting compliance, internal operations, and efficient information flow across programs.

Essential Duties and Responsibilities

Maintain physical and electronic filing systems for program, property, and administrative records. Organize, scan, label, and archive documents in accordance with internal policies and retention requirements. Coordinate file maintenance and document organization for Property Management, Property Rehabilitation, and Homeless Prevention programs. Ensure files are complete, accurate, and readily accessible for internal reviews, audits, and monitoring visits. Assist with correspondence, data entry, and document preparation as needed. Coordinate document requests across departments and ensure timely follow-up. Maintain confidentiality and data security standards when handling sensitive information. Perform other administrative and clerical duties as assigned. Qualifications

High school diploma or equivalent required; associates degree preferred. Prior experience in administrative support, file management, or records coordination preferred. Strong organizational skills with a high level of attention to detail. Proficiency with Microsoft Word and Microsoft Excel; comfort working with shared drives and electronic filing systems. Ability to manage repetitive, detail-oriented tasks while meeting deadlines. Ability to work independently with limited supervision and prioritize workload effectively. Strong written and verbal communication skills. Additional Notes

This is a part-time position not to exceed 20 hours per week. The role is primarily focused on administrative and records-related responsibilities The position may support multiple Snow Belt programs and properties as organizational needs evolve. Training, tools, and systems will be provided. A background check is required prior to employment.
