Seaman Corporation is seeking a highly organized and proactive HR Administrative Assistant to join our team. This position will primarily be responsible for front desk operations on Thursdays and Fridays, with additional administrative duties throughout the week. As a backup receptionist, this role will provide support on other weekdays as needed. The HR Administrative Assistant will report directly to the HR Business Partner -- Commercial and play a key role in ensuring smooth daily operations across HR and office functions

POSITION SUMMARY: The HR Administrative Assistant will play a pivotal role in ensuring the seamless operation of front desk functions, providing comprehensive administrative support, and coordinating employee engagement initiatives. This role plays a key part in supporting organizational efficiency, fostering a culture of wellbeing and supporting both administrative and event planning efforts.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Front Desk Responsibilities (Two Days/Week & Other Days as Needed)

Answer incoming calls, ensuring they are promptly directed to the appropriate personnel or processed accordingly.

Greet and assist onsite visitors, effectively communicating the nature of their visit and ensuring they are properly logged and issued appropriate badges.

Oversee office security protocols, ensuring compliance with visitor log procedures and badge issuance.

Coordinate the sorting and distribution of mail and packages, ensuring timely delivery and appropriate handling of sensitive materials.

Maintain office amenities, including ordering and restocking coffee and refreshments for meeting spaces.

HR Support

Coordinate and manage internal and external meeting logistics, ensuring smooth execution of all associated travel and scheduling.

Create and distribute engaging wellbeing content, acting as the administrator for wellbeing platforms and programs. Drive associate participation and engagement through effective communication and program promotion.
