Position Summary

We are seeking a detail-oriented and highly organized Payroll Specialist to manage and process payroll for our growing transportation company. This role is responsible for accurately processing payroll across a variety of pay structures, including hourly, salary, per-mile, percentage-based, contract, per-load, and incentive pay. The ideal candidate has experience in transportation or logistics payroll and understands the complexities of driver compensation, compliance requirements, and multi-state payroll regulations.

Key Responsibilities

Process weekly payroll for drivers, owner-operators, mechanics, and administrative staff

Calculate and verify multiple pay structures, including:

Hourly and salaried wages

Per-mile pay

Percentage-based load pay

Per-load or trip pay

Bonuses and safety incentives

Detention, layover, and accessorial pay

Review trip settlements and reconcile with dispatch and TMS systems

Ensure compliance with federal, state, and local wage and hour laws

Manage payroll deductions including benefits, garnishments, advances, and fuel card deductions

Maintain accurate payroll records and documentation

Prepare and submit payroll tax filings and reports

Reconcile payroll accounts and assist with month-end closing

Respond to employee payroll inquiries in a timely and professional manner

Assist with year-end processes including W-2s and 1099s

Support audits and maintain confidentiality of sensitive information

Qualifications

3+ years of payroll experience (transportation or logistics industry preferred)

Strong understanding of multi-state payroll compliance

Experience processing complex compensation structures

Experience with transportation management systems (TMS) preferred

Knowledge of DOT regulations and driver pay practices is a plus

Strong attention to detail and accuracy

Excellent organizational and time management skills

Proficient in Microsoft Excel
