Administrative Assistant - Administration

Under the direct supervision of the Director of Administration and with assistive supervision from the Chief Operations Officer, the Administrative Assistant - Administration is responsible for providing high-level managerial and administrative support to agency operations.This role is critical to the organization, serving as the first point of contact for many visitors, clients, and stakeholders. The position also supports continuous improvement initiatives in purchasing processes, facility improvements, and overall administrative operations. Key Responsibilities Front Office & Communication- Answer, screen, and transfer inbound phone calls with a high level of professionalism and customer service.- Serve as a welcoming and professional first point of contact for visitors and stakeholders.- Maintain strict confidentiality and handle sensitive information appropriately.Administrative & Clerical Support- Perform general clerical duties including photocopying, scanning, faxing, mailing, and distributing incoming correspondence.- Schedule, coordinate, and ensure successful meetings, appointments, interviews, and travel arrangements using individual and agency-wide calendars.- Assist the Director of Administration in maintaining administrative offices, including inventory management, equipment maintenance, and staff rosters/directories.- Lead or assist in the production of reports that support the effective operation of the agency.Operational & Agency Support- Collaborate with the COO and Administration team to develop and improve operational supports and services, including:

o Culinary support coordination

o Warehouse pick-ups

o Sign coordination

o Health & Safety Committee support

o Continuous Quality Improvement (CQI) Committee support

o Daily operational reports
