MINIMUM QUALIFICATIONS: Associates degree. Extensive experienced may be substituted in lieu of educational requirement.

One year of job-related experience.

Accounting and Accounts Payable experience preferred.

Library experience preferred.

Must be able to be bonded. KNOWLEDGE AND ABILITIES: Organize tasks and work independently.

Work with business and local government agencies as required.

Work well with other staff.

Analytical and organizational ability.

Knowledge of office practice and procedures, business English and spelling.

Proficiency in word processing, database and spreadsheet applications. Good typing skills.

Ability to learn accounting procedures and the library automated accounting software.

Demonstrated ability as a communicator (written, spoken, and listening) and positive interpersonal skills (friendly, courteous, and flexible disposition). Excellent computer skills. MAIN FUNCTIONS: Serve as secretary and receptionist for the administrative office.

Serve as assistant to the Fiscal Officer and Director.

Perform a variety of skilled, confidential, and financial tasks for the administration department

Support the library's strategic plan by embracing its mission, vision and organizational priorities. RESPONSIBILITIES: Serve as receptionist and create a welcoming environment for library visitors.

Manage Trustee work flow: a) Prepare agendas and information to be included in Trustee packets for meetings b) Prepare final copies of the Board minutes. c) Maintain Board book index. d) Prepare Board member binders. e) Notify Board members of meetings. f) Notify local newspaper to meet legal requirements for advertising Board meetings. Process routine financial functions: vendor invoices; daily deposits; reports; cash drawer counting; meeting room invoices; petty cash; inventory maintenance. Process personnel support functions: Job announcements; new hire orientation packets; maintain staff handbooks; create staff name tags; maintain current staff contacts lists and staff emergency information; set up BCI background checks for new hires. Back up Fiscal Officer on payroll functions; file timesheets.

Order supplies for the library.

Maintain office machines (phone system, postage meter, copiers, door system fobs, etc.)

Other related duties as assigned by Director or Fiscal Officer. EQUIPMENT AND EFFORT REQUIRED: Ability and manual dexterity to operate personal computer and keyboard, printers, telephone, and other office equipment. Ability to move items and materials weighing between 10-25 pounds. Valid driver's license, vehicle insurance and motor vehicle required.
