Position Summary

PrideStaff has partnered with a reputable, small law firm seeking a highly organized and motivated Entry-Level Administrative Assistant for a temp-to-hire opportunity. This is a crucial role for the client, serving as the first point of contact for their clients and providing essential administrative support to their legal team.

Key Responsibilities

Reception and Client Service:

Serve as the primary receptionist, answering and directing all incoming phone calls promptly and professionally.

Greet clients and visitors, ensuring they feel welcomed and comfortable.

Manage the scheduling of appointments, meetings, and conference rooms.

Office Administration:
Handle incoming and outgoing mail and courier deliveries.

Maintain and order office supplies, ensuring all necessary materials are stocked.

Manage and organize physical and electronic files in compliance with firm procedures and confidentiality standards.

Operate standard office equipment, including copiers, scanners, and fax machines.

Document Management and Support:
Assist legal staff with basic document preparation, formatting, and proofreading (e.g., letters, memos, and simple legal forms).

Perform high-volume scanning, copying, and binding of legal documents.

Assist with e-filing and physical filing procedures, ensuring documents are accurately logged and retrievable.

Billing and Data Entry:
Perform data entry tasks, including client information and timekeeping records.

Assist the accounting department with organizing invoices and expense reports.

Qualifications

Required

Education: High school diploma or equivalent (GED).

Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook).

Communication: Excellent verbal and written communication skills with a professional demeanor.

Work Ethic: Strong organizational skills, attention to detail, and ability to prioritize tasks in a fast-paced environment.

Confidentiality: Demonstrated understanding of the importance of maintaining strict client and firm confidentiality.
