Pondview Veterinary Clinic, a well-established small animal practice in Archbold, Ohio, is seeking a full-time Administrative Assistant to provide high-level support to the practice owner and staff manager. This is an excellent opportunity for someone who enjoys a fast-paced, team-oriented environment and wants to make a meaningful impact behind the scenes of a veterinary clinic.

Some key responsibilities will include:

Provide day-to-day administrative support to the practice owner and staff manager

Maintain organized digital and physical records, including HR files and internal documents

Assist with scheduling, meeting coordination, and internal communications

Track and follow up on ongoing projects and team initiatives

Support hiring and onboarding processes, including organizing resumes and interview logistics

Assist with vendor communications, inventory tracking, inventory ordering within a budget and invoice organization

Keep track of Accounts Receivable and ensure statements are delivered and payments are made within a timely manner

Act as a professional point of contact for internal staff and occasional external communication

Work with the leaders of the company to plan and execute fun events for the team

Plan and execute social media posts and update website regularly

Plan regular client communication through text messages and email

Qualifications:

2+ years of administrative or office support experience preferred

Strong communication and organizational skills

Proficient with Microsoft Office and Google Workspace

Ability to multitask and work independently in a dynamic environment

Positive, team-oriented attitude and a proactive approach to problem-solving

Experience with social media including Facebook and Instagram

Previous experience in a veterinary or healthcare setting is a plus but not required

Schedule:

Full-time, Monday through Friday (option to work a 4-day or 5-day work week)

Job Type: Full-time

Pay: $21.00 - $25.00 per hour

Expected hours: 35 -- 40 per week
