Base Pay: $18.23 Hourly

SUMMARY:

Oversees the performance of routine and moderately complex bookkeeping and accounting tasks, in a multi-accounting division involving accounts payable, accounts receivable, human resources and payroll.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Include the following. Other duties may be assigned.

Processes accounts payable functions; create purchase orders for invoice payment processing in accounting software system.

Contacts vendors for price quotes and obtains required forms.

Processes accounts receivable functions; invoice billing and maintains receivable report for vendors billing and payments for reconciliation to the general ledger.

Maintains employee mileage reimbursement and vendor placement payment reports.

Processes required testing for all applicants; background checks, psychological, urinalysis, Diana Screen and PREA.

Sets up interviews and prepares interview package for supervisors.

Processes new hire paperwork; explains documents including health insurance benefits, retirement, I9, W2 and juvenile department/county policies.

Processes and maintains personnel files, paperwork for transfers, promotions, disciplinary actions, resignations and terminations.

Prepares and submits payroll; assures employees timesheets are correct in timekeeping system.

Records and posts payments received in juvenile software system for court order fee collections; probation fees, attorney fees, graffiti fees, restitution fees and other fees.

Maintains probation fees summary report, prepares bank deposits for fees collected and executes restitution checks to victims.

Prepares and maintains the Monthly Fee Report for the Juvenile Probation Department Restitution account.

Maintains and keeps inventory of all electronic monitors.

Maintains and keeps inventory of bus passes.

Processes all personnel travel; training, conferences and meetings including - registration, hotel accommodations and perdiem reimbursements.

Inventories the departments fixed assets.

Maintains and keeps inventory of Juvenile Probation Officers badges.

Maintains data/financial reports; building and office supplies, travel expenses, psychological assessments, treatment sessions, payroll information and defensive driving.

Processes contracts for residential, non-residential and out of county.

Assists the Budget Accounting Supervisor with special projects.

QUALIFICATIONS:

EDUCATION and/or EXPERIENCE:

High school diploma or general education degree (GED); including or supplemented by bookkeeping or accounting courses, plus three (3) years of clerical and/or secretarial experience, One (1) year of which involved bookkeeping or accounting.

Any equivalent combination of experience and training which provides the required knowledge, skills and abilities.

LANGUAGE SKILLS:

Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.

MATHEMATICAL SKILLS:

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.

REASONING ABILITY:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

OTHER SKILLS AND ABILITIES:

Knowledge of generally accepted accounting principles relating to single and double entry accounting systems and financial reports.

Ability to work quickly and accurately with numbers and to maintain neat, well-organized records.

Ability to operate a 10-key calculator by touch.

Ability to @type at a speed of at least 45 words per minute.

Ability to communicate effectively both orally and in writing.

Ability to exercise independent judgment regarding release of confidential information.

Ability to operate a computer using standard word processing, data inquiry and spreadsheet programs.

Ability to establish and maintain effective working relationships with other county employees and officials and the general public.
