The job purpose of the Administrative Assistant is to assist management with data entry and administrative duties.

Duties and responsibilities

Executive Vice President

Develop and or maintain spreadsheets

Perform physical and electronic filing

Add and update equipment information in Vista

Perform general administrative support

Office Manager

Primary back-up for answering telephone calls to the Bismarck office

Assist with time cards for Bismarck Office, Shop, and Field

Track sub-contracts

Assist with employee clothing needs

Provide general administrative support

Shop Superintendent

Enter all equipment work orders into Vista

Maintain all DOT annual documents

Maintain and enter charge-out slips

Back-up Parts Department

Assist with inventory once per year

DOT Manager

Maintain Driver Qualification Files

Maintain employee key database for Fuelmaster dispensers

Self-motivated, reliable, and have consistent attendance

Must maintain confidentiality

Ability to exhibit and utilize tenacity in a diverse and challenging environment

Ability to exhibit and utilize close attention to detail

Ability to work in a dynamic team environment

All other duties as assigned, delegated, or necessary for operations

Position Requirements

Qualifications

Experience with Microsoft Office suite (specifically MS Word, Outlook and Excel)

Must be able to @type/key 55 WPM and ten key 8,000 KPH

Possess a valid Drivers License

Ability to pass a pre-employment urine drug test and comply with drug and alcohol policies during employment

Working conditions

Occasional exposures to fumes, dust, odors, heights, and loud noises

Occasional interruptions

Low levels of background noise related to an office/shop setting

Work 40 hours per week, year round

Physical requirements

Verbal, auditory, and written capabilities to effectively communicate in an articulate manner

Clarity of vision at varying distances to perform various work assignments

Sitting for extended periods of time

Dexterity of hands and fingers to grasp, manipulate objects, and perform keyboarding and data input

Reaching overhead, above the shoulders, and horizontally

Occasional bending, kneeling, or crouching

Lifting, carrying, pushing, and pulling object(s) weighing up to 40 pounds

Experience/Education

High School Graduate or Equivalent + three (3) years related experience, as a minimum.

Candidates selected for interviewing must complete or exhibit computer software proficiency through current work and or tests.
