Under the supervision of the Office Administrator/Legal Secretary III, performs varied secretarial and support functions for the legal and office staff. Must maintain strict confidentiality on all aspects of the Prosecuting Attorney's Office per office policies and procedures. Responsible for preparing and processing legal documents, preparing and issuing subpoenas, opening and maintaining case files and providing general clerical support. Maintains staff calendars, tracks court hearing dates, and schedules appointments. In the absence of the Office Administrator/Legal Secretary III, serves as backup for District Court processes. Serves as backup to the Legal Secretary who performs receptionist duties.

Examples of Duties

Works directly with the elected Prosecutor to prepare investigative subpoena document packets for submission to the court for cases that are under investigation. Types legal update packets containing information on recent changes to Michigan laws and prepares for distribution to local law enforcement.

Prepares various motions, briefs, orders, warrants, subpoenas, Writs of Habeas Corpus, Noelle Prosequi, and other legal forms and documents for both District and Circuit Court as requested by legal staff. Proofreads documents for spelling, punctuation, grammar and format

Creates criminal, civil, and ticket files and verifies all information is correctly entered and attached to each file. Files documents with courts, defense attorneys, and defendants and continually updates hard files, case logs, and electronic files. Closes files and electronically enters data regarding disposition of cases as well as updating the hard files.

Processes Discovery and Appearance requests received from defense attorneys for adult criminal cases and updates hard files and Adult Case Tracking.

Serves as back up to the legal secretary providing clerical support for the Prosecuting Attorney's Office. Directs members of the public to the proper departments, and determines entry to the Prosecutor's Office for attorneys, officers, court personnel, and members of the public. Receives, screens and routes telephone calls, exercising judgment and discretion in the release of information. Opens, date stamps, and distributes incoming mail to the appropriate staff. Informs subpoenaed victims and witnesses of their requirement to be present at scheduled court proceedings.

Generates juvenile petitions following the Prosecutor's review of police reports and is responsible for the timely filing of such petition with the court.

Responds to inquiries from attorneys, parties, victims, witnesses, and others regarding departmental procedures, schedules, case information and other information requested and responds using discretion and legal ethics and office policies as to the release of information.

Coordinates with other departments including but not limited to all Courts, Central Dispatch, state and local police agencies, County Jail, Department of Corrections, Attorney General, Secretary of State, US Attorney's Office and Public Defender's Office and provide and obtain information regarding case load. Access Jail inmate information and maintain strict privacy and security of all individuals.

Prepare files, logs information for reporting purposes, and orders certified driving records and certified Sex Offender Registration documents from the State of Michigan and other states as required. Requests certificate of convictions from other counties and
