We are currently looking for a Part-Time Administrative Assistant

Starting rate of pay : $22.00 per hour commiserate with experience

Position Overview

Responsible for the coordination of administrative activities to ensure timely flow of information to and from the senior leadership team. Handles details of a highly confidential and critical nature; independently manages multiple tasks and projects with competing priorities and deadlines; screens and prioritizes communications and inquiries from external and internal sources; and must function efficiently and effectively in a fast-paced professional environment. In addition, this position is responsible for coordinating and preparing presentations and materials and can work well with all levels of internal management and staff, as well as external constituents

Duties and Responsibilities

Receives, screens, redirects or responds to a wide range of inquiries directed to the Senior Leadership including telephone calls and e-mail messages, and elicits necessary information to determine those requiring priority attention to allow for timely and accurate response/follow-up.

Acts as the representative and ambassador to external customers by receiving and screening office visitors; providing information and answers to questions where judgment or knowledge is necessary - exercises discretion in public contacts.

Establishes, develops, maintains and updates filing system for the office, including electronic filing.

Assists senior leadership as required in day-to-day matters relating to the Rochester site and efficiently links direct reports and company employees to the appropriate senior leader.

Arrange travel for management staff as needed.

Manages the travel expense reimbursement process of the senior leaders, and others as required.

Schedules company meetings, conference calls and other functions as necessary.

Assist in organizing necessary team meetings.

Assists in planning, coordinating and executing company projects and events in partnership with management staff

Assist in the preparation of materials for meetings, take minutes and distribute follow-up action items as directed

Requirements

High School Diploma/GED required; Associate degree preferred

Minimum of five years of experience as an administrative assistant supporting executive level management.

Requires ability to understand and carry out assigned duties effectively with an emphasis on attention to detail and accuracy

Teleconference and videoconference scheduling experience

Knowledge/understanding of all office equipment

High level literacy skills, specifically including the ability to compose written communications using proper grammar, punctuation, and spelling

Good public relations skills

Active Notary status or ability to obtain certification preferred

Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)

Experience with DocuSign a plus

Discretions and the ability to handle confidential information with sensitivity

Processional demeanor and a customer-oriented approach

Exceptional organizational, time management and administrative skills required

The referenced pay range represents the minimum and maximum compensation for this job. Individual annual salaries/hourly rates will be set within the job's compensation range, and will be determined by considering factors including, but not limited to, market data, education, years of experience, qualifications, expertise of the individual, and internal equity considerations.
