Description

Summary: This position will work in all areas of the accounting and administrative department. The main focus will be on all US and International carrier invoices, Unbilled Reports, AP aging, Check run, and billing.

Essential Duties and Responsibilities: include the following as well as other duties as assigned.

Accounts Payable functions:

Process all incoming payable mail.

Process all US and International Carrier invoices on a daily basis.

Audit amounts, proof of delivery, and assign date of payment to invoice.

Scan all documents in Aljex system.

Verify all Carrier information and update system including all factoring companies.

Work the Unbilled report and AP expected report contacting carriers for appropriate documentation if necessary.

Process "Check Run" on scheduled day each week.

Process any and all Quick Pay invoices daily.

Billing:

Rate, scan, print, and mail freight bills daily.

Ensure all correct information and documentation is included with bill.

Email, fax, or mail invoices according to customer preference.

Inputting customer invoices electronically through Leaps, EDI, etc.

Minimum Qualifications: 2 years of customer service or administrative experience

Preferred Qualifications: 2 or more years experience in an accounting position focused on accounts receivable and/or payable. English/Spanish bilingual preferred.

Special Training: Ability to use Microsoft Office software applications, utilize a Logistics Operating System, CRM Tool & navigate the Windows XP Operating System

Special Skills: Must be able to communicate effectively, as well as work and deal with many different personalities. Needs to be able to deal with high-pressure situations, multi-task and maintain a schedule, while staying flexible to change. Must demonstrate the ability to be detail oriented with strong follow through skills. Needs to be strong in mathematical and numerical skills, as well as accuracy and organization.

Physical Demands: It is necessary to communicate and exchange information, remain in a stationary position, @type, write, and move with a full range of motion. It is occasionally necessary to move up to 25 lbs.
