GENERAL POSITION DESCRIPTION:

The AEL Administrative Assistant supports the daily functions of the Adult Education Department by serving as the first point of contact for students and the community. This position provides general information, answers inquiries, and assists students with the enrollment process for the AEL program, ensuring clear communication and a smooth intake experience. By ensuring efficient administrative support, this role helps maintain smooth program operations and enhances the student experience. This position receives general direction from the Project Director of Adult Education and Literacy and exercises no supervision.

NOTE:

This is a security sensitive position and an appropriate background investigation will be made on applicants being strongly considered for this position.

MINIMUM QUALIFICATION REQUIREMENTS:

Education:

High School Diploma or GED

Experience:

Some work experience

PREFERRED QUALIFICATIONS:

Experience:

Preference will be given to qualified applicants who are fluent in conversational Spanish

onfidential records management and file maintenance, both physical and electronic, with a strong understanding of FERPA and other regulations governing the handling of sensitive student information; 2. Office procedures and the operation of various electronic equipment, including computers and copiers; 3. Computer systems and applications, including Microsoft Office Suite, Google Workspace, and Zoom;

Skills in:

rganization and time management; 5. Attention to detail and problem-solving; 6. English usage, including spelling, grammar, and punctuation, for clear and professional communication;

Ability to:

omprehend and follow oral and written instructions accurately and efficiently; 8. Interpret and adhere to federal and state laws, as well as college and grant regulations, policies, and procedures; 9. Foster and maintain positive working relationships with colleagues, students, and stakeholders; 10. Deliver exceptional customer service, ensuring responsiveness and support for students and staff; 11. Prioritize tasks and projects effectively to meet deadlines.

WORKING CONDITIONS:

Sedentary-Desk work; occasional field trips e.g. for college or program activities. Minimal Hazard/Exposure-Standard office setting. At least minimal environmental controls are in place to assure health and comfort.
