Position Overview

Circulogene is seeking a detail-oriented and proactive Medical Records Assistant to support our billing and coding operations. The ideal candidate will assist in obtaining and organizing patient medical records-including pathology reports, imaging reports, and office consult notes-from physician offices. This role ensures that all documentation necessary for accurate and timely billing of Circulogene testing samples is properly acquired and maintained.

Key Responsibilities

Request medical records, including pathology, imaging, and consultation reports, from physician offices using fax or phone communication.

Follow up with offices as needed to ensure timely receipt of records.

Review received documents for completeness and accuracy before submission to the coding and billing team.

Maintain organized and secure digital filing of all patient records in compliance with HIPAA and company policies.

Track and document all record requests, communications, and receipt dates.

Collaborate with internal teams (billing, operations, and client services) to resolve missing or delayed record issues.

Support other administrative and documentation needs as required.

Qualifications

High school diploma or equivalent required; associate degree or medical office experience preferred.

Previous experience in a medical office, records management, or billing support role strongly preferred.

Working knowledge of HIPAA regulations and patient confidentiality standards.

Strong communication skills and professional phone etiquette.

Excellent attention to detail, organization, and time management.

Ability to work independently and manage multiple requests efficiently.

Proficiency with fax systems, Microsoft Office, and electronic document filing.

Schedule & Growth
