POSITION SUMMARY:

This position combines front-line reception and back-office support for the smooth operations of the organization. The receptionist provides general administrative support to the staff and assists in special projects as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Essential duties and responsibilities include those set out below and other duties that may be assigned to meet business needs.

   Answer phone and directs callers to the appropriate staff.  Screening calls and taking detailed messages .  Adept at using all features of the telephone system and voice mail.

   Greets and directs visitors in a professional, friendly and hospitable manner.

   Provides callers with information such as company address, directions, fax numbers, website and related information

   Provides administrative support

   Sorting and distribution of delivered mail on a daily basis.

   Receive all incoming shipments and deliveries and notifies recipients accordingly.

   Prepares and processes outgoing mail

   Ensures postage system is operational and keeps supervisor informed of postage needs.

   Maintenance of appointment calendars for accountants/schedule appointments.

 Make reminder appointment calls.

 Keep copier stocked with paper and order paper as needed.

 General filing.

 Update client information/Tax Organizers

 Enter tax invoices.

 Assemble and collate printed tax returns for distribution to clients.

 Scan and copy client documents.

 Call clients when returns are completed.

 Present completed tax returns to clients.

 Collect client payments, provide receipts, and record each transaction.

QUALIFICATIONS

Essential

   Knowledge of gmail and MS Office Suite (Word, Excel, Outlook and PowerPoint) and Internet Explorer, Firefox, Chrome

   Excellent written and verbal communication skills.  Possesses exceptional interpersonal communication skills via phone, email and in person

   Ability to work independently on assigned tasks as well as to accept direction on given assignments

   Ability to multitask

   Firm sense of responsibility

   Positive, bright and professional attitude

   High School Diploma or equivalent

   Typing skills (minimum 50 wpm)

   Numeric keypad skills

 Basic understanding of taxation and accounting concepts

 Able to pass drug screen and background check

Preferred

   Basic knowledge of QuickBooks and Drake Tax software

   Post High School related education
