Summary/Objective

Magellan International School (Colegio Internacional Magallanes), a preschool to high school private IB School in Austin, Texas, has an opening for a full-time Administrative Assistant. As the first point of contact for our vibrant school community, the Administrative Assistant plays a vital role in ensuring smooth daily operations and creating a welcoming, organized front desk environment.

Essential Functions

Greet and assist students, staff, families, and visitors in a warm, professional manner

Answer and direct incoming phone calls; relay messages accurately

Monitor visitor sign-in procedures and building access for safety and compliance

Maintain a professional, orderly front desk environment

Manage office supply inventory; order and restock items as needed

Coordinate repair and maintenance schedules for front office equipment

Assist with internal audits and the filing of confidential documents

Attend and contribute to Operations team meetings

Communicate professionally and effectively with parents, staff, and vendors

Establish and maintain positive relationships with school families and community partners

Support school-wide fundraising and marketing initiatives

Maintain confidentiality at all times with department and campus information

Required Qualifications

Minimum 2 years of administrative, receptionist, or clerical experience

High School Diploma or equivalent

Preferred Qualifications

Bachelor's Degree

from an accredited four-year college or university

Spanish language proficiency is helpful, though not required
