What you will do in this role:

Provide office management and support with calendars, scheduling, project reporting and email correspondence, travel, conference registrations, and other general admin duties.

Support the preparation of project billing and invoicing.

Ensure the smooth running of the office; maintain office supplies; handle requests and oversee the facilities and workspace.

Assist project engineers and project managers with daily project needs as assigned, including the tracking of project progress, preparation of status reports, and assisting project managers with communicating updates to stakeholders.

Bring a continuous improvement mindset to proactively identify opportunities to enhance project management support and improve team operating procedures with a focus on increasing efficiency, and driving effective communication.

Assist in managing necessary communications to clients, staff, and subconsultants with necessary project information.

Assist in the preparation and tracking of project proposals, scopes, schedules and budgets

Maintain and update project documentation, including contracts, permits, submittals, RFIs, and change orders.

Organize and participate in project meetings, prepare agendas, and take meeting minutes.

What you will bring to us:

Associates degree preferred but not required.

Up to two years of experience in a similar role, preferably within the civil engineering or construction industry.

High proficiency in organizational and time-management skills with the ability to prioritize tasks and meet deadlines.

Excellent verbal and written communication skills.

Proficiency in Google Office Suite (Docs, Sheets, Meet etc.), CRM, invoicing and billing systems

Must be proactive, self-motivated, able to multi-task, work both independently and in a team environment.

The ability to interface effectively and professionally with clients, consultants and the community at large.

Please note that the salary information shown below is a general guideline only. Salaries are based upon candidate experience and qualifications, as well as various market and business considerations.

The wage range for this position is $25.00 - $35.00 per hour.

Full time employees receive a well rounded benefit package including access to our company sponsored Medical, Dental, Vision, FSA, and Supplemental Life Insurance plans. Company paid Life Insurance, Short Term Disability, and Long Term Disability coverage. Employees are eligible to participate in our company's 401k plan with up to a 4% match. Additionally, employees also receive paid vacation time, paid sick time, and 11 paid holidays. MacKay Sposito pays for expenses associated with licensure as well as annual profit sharing bonuses.

We understand that life happens so we work to offer flexibility in the workplace. Our team members can choose to work up to two days per week from their home office.
